Admissions Process

When a person wants to apply for your school, they will start by creating a profile and moving through a set of steps toward completing their application. A complete admissions process generally includes a combination of Admissions Steps, as well as Automations and Fees.

You can have different Admissions Processes for each program that you offer. For example, Year 1 applicants might have a different Admissions Process than Year 2 applicants.

Admission Steps

Each Admissions Process may include any arrangement of the following steps:

  • Communication Step - Communicate information to applicants via video, images, or text. (Video)
  • Profile - Applicant creates a basic profile. (Only used once per Admissions Process) (Video)
  • Questions - Application questionnaire. (Video)
  • Review - Applicant reviews questionnaire answers before submitting. (Video)
  • Agreement - Require a signature from the applicant. (Video)
  • Class Signup - Applicants select their classes. (Video)
  • Fee - Collect a required payment to continue application. (Video)
  • Staff Review - Pauses the application for staff review. (Video)
  • References - Questions sent to references. (Only used once per Admissions Process) (Video)
  • Interview - Schedule an interview with staff. (Only used once per Admissions Process) (Video)
  • Tuition Agreement - Student chooses and agrees to tuition and a payment plan. (Video)
  • Decision - Usually the final step. Used to accept/deny applicant. (Only used once per Admissions Process) (Video)

Admission steps can be renamed and ordered. 

Display rules can also be added to admission steps so that they are not visible to applicants unless they are relevant to that applicant. For example, fee step that has been named 'Deposit' might not become visible until the Admission Decision Step has been completed and the applicant has been accepted. 

Automations can be built and triggered by admission steps. For example, a Welcome Packet can be emailed once an applicant reaches the Profile Step. You can learn more about Automations Here!

Not all steps need to be enabled in an Admissions Process. 


Adding an Admissions Process to a Cohort/School Year

When building a Cohort/School Year, you will be asked to select an Admissions Process. A dropdown menu will display all of the Admissions Processes that have been built in your system. Select the Process that you wish to have Applicants use when applying for that Cohort/School Year.

  • Creating a "welcome email"
  • Notifying a staff user when an application is ready for review.
  • Adding Rules to your Admissions Process
  • Student Status + Tuition Automation
